AI agents for physio, dental, osteopathy and aesthetics practices
AI for clinics: fewer empty slots, and a reception that always answers.
An AI agent confirms tomorrow’s appointments the evening before, rebooks anyone who cannot make it and offers the freed slot to the waiting list, answers “do you have anything this week?” with real free times, and asks happy patients for a review. For physio, dental, osteopathy, aesthetics and other private practices, through the diary you already use.
A few minutes, free, and it is also your application for cohort one. See an example report first.
- A reminder of your physio appointment tomorrow at 10:30. Reply YES to confirm, or tell us a better day.
- Can I do Friday instead?
- Friday at 14:00 is free. I have booked it for you. See you then.
- Moved to Friday 14:00. Thursday 10:30 offered to the waiting list.
What eats the week at the front desk
A patient forgets, and the 10:30 sits empty while three people on the waiting list would have taken it. Reception rang the day before, but reception also answers the phone, takes payments and greets whoever is at the desk, so some patients did not get the call.
The phone rings with the same questions all day: do you have anything this week, how much is an initial assessment, do you do Saturdays. Each is answered from memory while the booking system is open on another screen and someone is waiting to pay.
Patients finish a course of treatment and never book the follow-up, because nobody has the list and nobody rings. And the review request that would have been five stars gets forgotten in the rush.

It works with Cliniko, Dentally, Fresha and your booking system
Your diary runs in Cliniko, Jane, WriteUpp, Dentally, Software of Excellence, Fresha, Phorest or Timely, and your patient records stay there. An agent reads the free slots and tomorrow’s list, sends the confirmations and the rebooking offers through your own number and email, and writes the booking back. Clinical notes are never part of what it reads.
The first job is usually confirmations and rebooking
Set up with you on the phone, live in two weeks, every message in your words.
- 01 You tell us which diary you use, when confirmations should go, and how a patient should be able to reply.
- 02 You approve the wording of the confirmation, the rebooking offer and the message to the waiting list.
- 03 Each evening the agent confirms tomorrow’s appointments. A patient who replies that they cannot make it is offered the next free times and rebooked, and the freed slot is offered to the waiting list.
- 04 A patient who asks a clinical question, or who sounds upset, is passed to a person with their message.
- 05 Friday’s summary shows the week’s bookings, the gaps filled, the cancellations and who never confirmed.
Your agents, on one chart.
Hub Operations sets each agent up with you on the phone, hands work between them and your team, and shows what each one finished this week. Add an agent, pause one, or ask for a change in plain words. It is the same screen we run our own company from.

What clinics and practices ask first.
- Is patient data safe?
- The agent reads the diary, the waiting list and the replies to its own messages. Clinical notes are never part of it. The Hub is hosted in Frankfurt, its privacy policy names every company that processes anything, and we agree exactly what each agent reads before it is switched on.
- Can it answer clinical questions?
- No, and it is told not to. A clinical question goes to a clinician. It answers the practical ones: availability, the prices you publish, directions, what to bring.
- We are a dental practice run by a practice manager, not an owner. Does it fit?
- Yes. Whoever runs the front desk approves the wording and sees the dashboard. The clinicians do not have to touch it.
- How long before it is working?
- Two weeks from the call to the first agent switched on, set up with you on the phone. Your first week is free. Setup is free for the five businesses in cohort one; otherwise it is £1,500, refunded in full if you do not switch it on.
- What does it cost each month?
- £149 a month for your Hub, with as many agents as you need and £25 of AI use included. Above that you pay for the AI your agents use, in pounds, under a monthly limit you set, and nothing can spend past it.
