AI agents for estate and letting agents
AI for estate and letting agents: every enquiry answered, every viewing booked.
An AI agent answers a portal enquiry the minute it arrives, books the viewing into your diary, chases the applicant and the landlord for paperwork before move-in, and writes each landlord’s update for you to approve. It works through your own email, your diary and the software you already have.
A few minutes, free, and it is also your application for cohort one. See an example report first.
- Is the flat on Mill Road still available? Could I view it this week?
- It is. I can do Wednesday at 17:30 or Saturday at 11:00. Which suits you?
Answered out of hours
- Saturday please.
- Viewing booked for Saturday 11:00, confirmed by email and text.
What eats the week in an agency
Enquiries from Rightmove, Zoopla and OnTheMarket arrive at ten at night and on Sunday mornings, and the applicant who does not hear back books a viewing with the agent who answered. The negotiator who was out all day comes back to forty emails, most of them asking the same three things: is it still available, when can I see it, do you take pets.
Lettings adds the paperwork. Right to Rent checks, references, guarantor forms, the deposit protected within thirty days, the gas safety certificate before move-in, and whatever the Renters’ Rights Act adds to the file this year. Each one is a chase: the applicant for their documents, the landlord for their certificate, the referencing company for its result. Someone keeps the list, and the move-in date slips when they are off.
Sales has its own version. A negotiator spends the afternoon ringing solicitors and the other agent for a chain update, and the vendor rings to ask what the negotiator has just found out. Landlords ask how their property is doing and get an answer when someone has a moment.

It works alongside Alto, Reapit, Street and the portals
Your listings live in Alto, Jupix, Reapit, Street, Dezrez or Loop, your enquiries arrive from the portals into your inbox, and referencing runs through Goodlord, Canopy or whichever you use. None of that changes. An agent works through your own email and diary and reads what it needs from the listing and your notes: the address, the rent, the available date, the viewing slots. Your CRM stays the record.
The first job is usually the enquiry desk
Set up with you on the phone, live in two weeks, every reply in your words.
- 01 You tell us which inboxes the enquiries land in, which properties are live, and the viewing slots each negotiator can offer.
- 02 You approve the wording: the first reply, the questions it may answer from the listing, and what it says when something is not in the listing.
- 03 A portal enquiry gets a reply the same minute with two viewing times. The applicant picks one, and the agent books it into your diary and confirms by email and text.
- 04 Anything the listing does not answer, and anything that reads as a complaint, goes straight to a negotiator with the thread attached.
- 05 Monday morning you see the weekend’s enquiries, the viewings booked, and the ones still waiting for a person.
Your agents, on one chart.
Hub Operations sets each agent up with you on the phone, hands work between them and your team, and shows what each one finished this week. Add an agent, pause one, or ask for a change in plain words. It is the same screen we run our own company from.

What estate and letting agents ask first.
- Can it describe a property without getting it wrong?
- It answers only from the listing and the notes you give it, and says so when something is not in them. A question it cannot answer from those goes to a negotiator, never to a guess.
- Does it work out of hours?
- If you tell it to. An enquiry at 10pm gets an answer and a viewing slot before the morning because you decided that one reply may go without a person approving each one. Everything else waits for you, and the dashboard shows which agents you have allowed to send on their own.
- What about the lettings paperwork?
- A document-chasing agent asks the applicant and the landlord for each item on your list, reminds until it arrives, and files it against the tenancy. You set the list and the wording; the agent does the asking.
- How long before it is working?
- Two weeks from the call to the first agent switched on, set up with you on the phone. Your first week is free. Setup is free for the five businesses in cohort one; otherwise it is £1,500, refunded in full if you do not switch it on.
- What does it cost each month?
- £149 a month for your Hub, with as many agents as you need and £25 of AI use included. Above that you pay for the AI your agents use, in pounds, under a monthly limit you set, and nothing can spend past it.
